GENERAL INFO 

1. Do Incorta company policies apply while I'm at QBR? 

Yes, during QBR all Incorta company policies apply to every colleague at all times, including during the sessions, meals, evening events, and all times in between (including the middle of the night).

2. Will I have any free time?

Each day will be packed with programs and training. All events are mandatory and attendance is recorded, because everyone's participation will greatly benefit the entire group. 

3. When do I need to arrive at the QBR? 

Lunch is available from 12:00pm NOON on Sunday, June 5 with the main session starting at 1:00pm.  Please plan to arrive in time.  Please note: All international attendees are pre-approved to arrive on Saturday, June 4, 2022.

4. How do I know which sessions I will be attending?

You will be given a schedule prior to the conference. Please be advised: Attendance is required at all Incorta meetings, meals and events.

5. Can I bring a guest?

Incorta QBR is strictly for colleagues only, including group meals and events. Exceptions are not permitted and guests are not allowed to attend the conference, conference-related activities, or stay at the conference hotel during the dates of June 5-7, 2022.

6. What attire is appropriate?

The dress code for the General and Breakout Sessions is business casual. See below for a brief overview:

  • Evening Events - Dressy Casual

7. Does the hotel have internet access?

Complimentary internet access is available in all guest rooms as well as most public spaces throughout property.  

8. Do I need a credit/debit card for my incidental charges at Virgin Hotels Las Vegas?

Yes.  As a standard hotel check-in procedure, Virgin will collect a credit/debit card from all guests to be authorized for $100 per night for your stay to guarantee incidental charges.  Upon check-out, you are responsible for settling your own account.  If you do not have a credit/debit card, please contact the Incorta Registration Team to discuss before traveling to Las Vegas.

TRAVEL

9. How do I book my travel to Las Vegas?

You will be flying to McCarran International Airport (LAS).  Airfare is provided for you and will be coordinated by the Incorta Registration Team.  During registration you will be asked for your travel information, including legal name, gender and date of birth.  This information is required by TSA for booking airfare and must match your Legal Identification.  You will be sent your itinerary for immediate approval under a separate cover.  All travel itineraries must be approved within 24 hours of receipt, as space and fares are not guaranteed until ticketed.  If there are any changes made to your itinerary after ticketing other than what is considered business-related, you will be responsible for the change fees and any additional fare difference.  Please Note: It is not permissible to book your own flights.

10. I am an international employee who will be traveling to the US, what should I do about my flights?

Please indicate you are an international employee traveling to the US in the appropriate boxes during registration and the Incorta Registration Team will contact you to book your flights. If you have additional questions about booking travel, please do not hesitate to contact the Registration Team.

11. I am an international employee who will be traveling to the US for the . I would like to extend my travel outside of program dates, what should I do?

If you would like to extend your travel outside of program dates, please specify your desired travel needs in the "Special Travel Needs" section of registration. The Incorta Registration Team will contact you to help book your flights. Please keep in mind, any deviations to your flights to and from Las Vegas outside of program dates will be at your own expense.

12. I am an international employee who will be traveling to the US, are there special requirements needed for my passport?

It is important to note that when you are traveling to the US your passport must be valid at least 6 months after your expected travel dates.

13. I am an international employee who will be traveling to the US, will I need any special documentation to do so?

When traveling to the United States, some foreign citizens may require a visa while others may be eligible to travel without a visa under the Visa Waiver Program. 14. I am an international employee who will be traveling to the US and I am eligible for the Visa Waiver Program. What do I need to do next?

If you are eligible to travel under the Visa Waiver Program (requirements can be checked here), you will need to obtain your Electronic System for Travel Authorization (ESTA). To obtain your ESTA (or check the status of your current ESTA) please click here.

15. I am an international employee who will be traveling to the US and I am NOT eligible for the Visa Waiver Program. What do I need to do next to obtain a visa?

If you need a visa, there are a couple of ways you can obtain one. CIBT is a company that offers services in speedy visa obtainment. You will work with a Concierge Specialist who will walk you through the entire process from start to finish, helping you with each step. To start the visa process with CIBT, please click here. 16. What if I have to change my flight?

Please contact the Incorta Registration Team if you must change your flight.  They will work with Incorta to get authorization.  Changes made for personal reasons will be at your own cost.  Changes made due to a business-related schedule will be paid for by Incorta.

17. How do I get from the airport to the hotel?

Incorta will provide airport shuttles to and from McCarran International Airport and Virgin Hotels Las Vegas on January 10 and January 12 as well as for attendees who have been pre-approved to arrive to Las Vegas earlier than January 10.  All attendees are required to take the airport shuttles.  If you opt to take a taxi or private transfer from the airport to the hotel, this is at your own expense.

18. How do I get back to the airport on Wed?

Incorta will provide airport shuttles to and from McCarran International Airport and Virgin Hotels Las Vegas on January 10 and January 12.  All attendees are required to take the airport shuttles. If you opt to take a taxi or private transfer from the airport to the hotel, this is at your own expense.  You will receive a Departure Notice in your registration packet at QBR detailing your scheduled bag pull and airport shuttle departure time.

EXPENSE REIMBURSEMENT

19. What travel costs can I expense?

Airfare and hotel room rate will be paid by Incorta.  Changes made for personal reasons will be at your own cost.  Changes made due to a business-related schedule will be paid for by Incorta.  You may expense one regular baggage fee per flight.  Fees for overweight bags or additional luggage will not be reimbursable.  Airport transfers in Las Vegas will be provided; if you opt to take a taxi or private transfer, this will be at your own expense.

20. What meals and conference incidentals can I expense?

All meals (with drinks) are provided for you during the conference dates.  Any other meals (or drinks) will be covered at your own expense.  Guest room internet access is complimentary. Meals on main arrival day prior to hotel arrival and after hotel departure on main departure day are allowable expenses if handled in accordance with all applicable corporate policies. 

21. Can I expense my travel to and from my home and originating airport (including airport parking)?

Yes, but please use your best judgment and follow corporate policies for evaluating the most cost-effective travel options to the airport.

PTO AND EXTENDED STAYS

22. What if I want to extend my stay in Las Vegas and take PTO?

Work with your manager to get the time off approved and be sure to indicate in the notes section of the registration page that you would like to extend your stay. As long as there is no difference in the flight cost, you will only have to pay the additional hotel nights on your own. However, if your travel plans do cause an increase in fare, you will be charged the difference.

23. What if I want to extend my hotel stay in Las Vegas?

If you would like to extend your stay at Virgin Hotels Las Vegas before or after the program dates, rooms are available on a first-come, first served basis and subject to the prevailing rate.  Room availability is not guaranteed and is at your own expense. 

Please note: If you wish to modify your extended stay, please notify the Incorta Registration Team at least 72 hours prior to your arrival date.  Any changes or cancellations to your hotel extension after this date will result in one full night's charge to the credit card provided during registration.
